Starting a company is easier when the information behind the application is clear. Before discussing incorporation with your company secretary, prepare a short brief about who will own the business, who will manage it and what it will do.

This checklist helps you organise that first conversation and reduce avoidable follow-up requests.

1. Describe the business in plain language

Write down the products or services you expect to offer, your main customers and where the business will operate. Be specific: “online retail of household goods” is more useful than “general business”. Mention any activity that may require a separate licence or approval.

2. Prepare a shortlist of company names

Choose a preferred name and a few alternatives. Company names are subject to SSM approval, so avoid committing to signage, packaging or a full brand rollout before the name is confirmed.

3. Organise ownership and director information

Prepare the proposed shareholders’ and directors’ identification details, contact information and intended ownership structure. Check that everyone understands their proposed role before the application is prepared.

SSM states that a private company requires at least one director ordinarily resident in Malaysia, with a principal place of residence in Malaysia. Discuss the proposed arrangement with your company secretary rather than assuming every founder automatically meets the requirement.

4. Agree on addresses and a document contact

Identify the intended business location and discuss the registered office arrangement. Nominate one person to coordinate documents, confirm missing information and keep track of the latest version of each file. Share identification documents through an agreed secure channel.

5. Plan what happens after incorporation

  • Confirm the company secretary appointment; SSM specifies appointment within 30 days of incorporation.
  • Prepare for the bank’s account-opening checks and documentation requests.
  • Set up a simple system for invoices, receipts and company correspondence.
  • Discuss any business licences, tax registrations or employer registrations relevant to your planned operations.

A useful first-meeting folder

Bring your business description, name shortlist, proposed ownership details and questions about timing. A complete folder does not guarantee approval, but it makes it easier to identify gaps before submission.
